The assignment
“What should we order this week? Use our usual replenishment rules, check whether stock can move between stores first, and keep new purchasing under C$12,000. Show me the reasons and trade-offs before creating orders.”
What it used
- The replenishment rules per item — the days of cover, the safety stock and the minimums, resolved by precedence.
- The sales by day this month and last, and by style this quarter.
- The stock on hand by store and at the distribution centre — 9,079 positions in the desks’ scope, 163,422 position reads over 18 desk walks.
- What is already arriving: the open purchase orders, line by line.
- Each supplier's lead time, pack and order minimum.
- The transfer lanes into every store, ranked by distance.
- 31 report pages in all, every one read through the connector.
The proposal
Transfers first: the engine fills each store's gaps from the distribution centre, and from a store with genuine excess.

In all: 14 draft orders over 243 lines at 14 suppliers, C$180,378.08 estimated; 5 transfer requests.
The follow-ups
“What changes if I can spend only C$8,000?”

The exceptions
- Maple Row Denim Co. asks C$750.00 per order and Oda Studio AS (Oslo) asks C$2,500.00 per order; merged into one order each, both are met — 0 short.
- 1 line was covered only in part: Outerwear style 510 (FW26) M (Dusty Rose) at Harbourline Queen West — shop floor — no donor held the excess.
- 6,092 positions below target found no store with genuine excess; they fall to the purchases above.
What stayed the merchant's call
The engine issued nothing. Each transfer and draft order above is a suggestion, rehearsed and shown before any write. The approvals and the deferrals stayed with the merchant. The cash limit stayed the assistant's arithmetic over these suggestions.
What the merchant did, in the same conversation, the morning after. The assistant had left it at “Proposed transfers and the two buy plans. Nothing has been created.” The merchant approved the C$12,000 plan as presented. The assistant rehearsed every document first, then wrote them: “I created all 13 documents as drafts: 9 purchase orders and 4 transfer requests. Nothing has gone to a supplier or the distribution centre yet.” — 47 order lines at C$11,885.86, the plan to the cent.
Then the release: “Eight of the nine purchase orders are issued, and all four transfer requests are open with the distribution centre.” The engine refused the ninth — Oda Studio at C$1,491.93, under that supplier's C$2,500 order minimum — in its own words: “The order merchandise total is below the vendor order minimum.” The refused draft stayed a draft until the merchant answered, and the answer was to cancel it: “Its status is now cancelled, and that is permanent. A cancelled order can’t be reopened, so buying that outerwear later means raising a new order.”
What stands at the end of the morning: 8 purchase orders issued for C$10,393.93, 4 transfer requests open with the distribution centre, one order cancelled, and the week's new spend C$1,606 under the cap. The stock still has to be allocated, shipped and received — the week after's story.
